Artflow Pro has been designed to make managing, marketing, and selling your artwork easier than ever before. Whether you're working independently or connecting with galleries, Artflow Pro gives you professional-grade tools without the complexity.
This guide will walk you through the main areas of the platform to help you get the most out of your Artflow Pro account.
Logging In
Open your browser and navigate to https://portal.artflow-pro.com.
Enter your username (or your registered email address) and your password.
Click Login to access your artist dashboard.
Dashboard Overview
After logging in, you'll land on your Dashboard - the central hub of Artflow Pro.
Main Menu (Left-hand Side):
Access all areas of Artflow Pro through the easy-to-navigate sidebar.Profile and Notifications (Top Right):
Manage your personal settings and view important notifications.Dashboard Panels:
A summary of your total artworks, recent sales, and total values.
A list of galleries you are connected with.
Visual graphs showing:
Total sales and artworks sold
Artwork value trends
Average time-to-sell statistics
A panel displaying images and details of your most recent uploads and sales.
Managing Your Artwork: Your Artworks
The Your Artworks section displays your current inventory.
Artwork Cards:
Each piece is displayed as a card showing a thumbnail, title, and brief summary.Adding New Artworks:
Use the Add New button to upload new artworks at any time.Filtering and Searching:
Advanced filters allow you to search artworks by series, sale type, materials, and more.Editing an Artwork:
Clicking on any artwork opens a detailed screen where you can:Upload additional images
Assign series, materials, sale types, and marketing features
Enter physical details (size, weight)
Set retail pricing
Write three types of descriptions:
Summary Description (1-2 sentences)
Full Description (around 100 words)
Social Media Description (short, catchy text)
Use the built-in AI Assistant to generate descriptions based on your artwork's images and details.
Sharing Artworks:
Easily share artworks by generating links for email, social media posts, or galleries.
Proposals and Gallery Connections
Proposals are a key feature that allows you to showcase selected artworks to galleries.
Creating a Proposal:
Start a new proposal.
Select artworks by clicking on their cards.
Assign the proposal to a gallery you're connected with.
Send it directly through Artflow Pro.
Gallery Response: If a gallery accepts your proposal, you can quickly generate consignment documents containing:
Full artwork details
Delivery information
Terms and conditions
Once confirmed, prepare your artworks for dispatch.
Managing Galleries
The Galleries section helps you manage and communicate with your gallery connections.
View a list of galleries you work with
Chat in real-time via the built-in messaging system
Share confidential notes and permissions
Invite galleries to connect:
External Invitations: Send an invitation to any gallery.
Artflow Network: Connect with galleries already on Artflow Pro who are open to new artists.
All important events - proposal sent, consignment accepted, sale completed - are automatically notified via email and recorded in the messaging timeline.
Social Media Integration
Artflow Pro helps you market your work seamlessly across your social media platforms.
Connect your Instagram and Facebook Business accounts.
Post artwork directly to your social media from within Artflow Pro.
Keep a full history of what you've posted about each artwork.
If a gallery also markets your artwork, you'll see their posts recorded alongside yours - making joint marketing simple and transparent.
Important Settings to Personalize Your Portal
Setting up your portal correctly saves time and maximizes the value you get from Artflow Pro.
1. Art Types
Choose your main art type and add any others you work in. This sets defaults for materials, features, and category filters.
2. Sales Categories
Default categories (Exhibition, Galleries, Local Sales, Online Sales) can be customized to suit your practice (e.g., add Commissions, Private Collection).
3. Series
Create series to group related artworks together. Useful for describing thematic or stylistic projects.
4. Materials
Manage the list of materials you use (e.g., porcelain, stoneware, bronze, canvas, digital media). Start with Artflow's defaults or fully customize your list.
5. Product Features (Marketing Features)
Highlight unique qualities about your work - these features help galleries and customers better understand and market your art.
Setting Up Your Artist Profile
Your Profile Page is the public face you present to galleries and potential customers.
Personal and Business Information:
Add your name, business name, contact details, website, social media profiles, and ABN if applicable.Artist Statement and Resume:
Compose a professional artist statement and upload your resume.Portfolio Linking:
Attach up to three portfolios to showcase a curated selection of your artworks.
This is crucial - galleries often review your public profile before deciding to work with you.

Download the free Artflow Pro mobile apps for iOS and Android to:
Upload artworks directly from your phone or tablet
Manage your portfolio anywhere
